The Stock Masterfile has various buttons that perform different functions relating to the current item that is selected.
Choose Sales from the top of the Stock Masterfiles Window to view the Sales Enquiries for a particular stock item. The Sales Enquiries window appears.
To view the sales of the stock item within a period, greater than the default 12 month period, choose Refresh. Enter the dates you wish to view in the From and To fields.
Enter the Stock Item Code or click the button on the right of the stock item field to conduct a search of the stock item for which you wish to view the sales enquiry. The Select Stock or Alternate Stock window appears. Click here to also see how to insert a part from within the Select Stock or Alternate Stock window.
Choose Purchases from the Stock Master file window to view Purchase Enquiries for a particular the stock item. The Purchases Enquiry window appears.
This button allows you to locate a stock item in various ways. See Intellisearch Parts for more information. Once the item has been selected it will highlight the item in the Stock Masterfile.

This button will display a new search window where you can search for an alternate part number by simply typing the number required. As you type the number the system will autoamtically locate an item closest to what you have typed. Once you have find the item required you can double-click on the item or click the Select button which will take you to the selected stock item in the Stock Masterfile. This button will open the Stock Report Options window. From here you can select to print a report for either a single stock item, group of stock items, all stock items or just stock on hand.
This button will open the Stock Enquiries window. The Enquiry screen will automatically show transactions relating to the selected stock item.
This button will open the Browse the Serialised Stock File window. This window will show a list of the serialised stock item on hand, reserved or sold. See Serialised Stock for more information.
This button will open the Select Customer window. After selecting a customer, the system will create a quick quote for the customer based on the margins, price level and discounts setup in the customer masterfile for the selected customer. You can then elect to either print or email the quote to the customer with a picture of the item attached if it has previously been linked to the item. If the customer wishes to purchase the item, you can then choose to either add the selected item to an existing customer order, estimate, job, manufactured job, purchase order or job kit. If the item is not on an existing document, you can choose to create a new customer order, estimate or purchase order. You can also choose to create a new customer order and immediately post it as a quick sale. This will add the item to a customer order and instantly finalise the sale, allowing you to print or email the invoice.

This button will open the Lost Sales window. In this window you can enter if you have missed out on a sale and provide a reason why, for example Insufficient Stk, Don’t Stock, Too Expensive, Unknown reason or a User Defined reason. You are then able to print a lost sales report, which is available under the menu option Reports, then Stock, then Lost Sales.
This button will open the Stock General Movement Statistics window. This window will show purchasing and sales statistics for the current year and compare sales quantities to the previous year. The graph shows details of sales, purchases and other statistics. As you click on each transaction type at the top of the screen, the system will display a graph relating to the transaction type selected. See **Graph in Stock Masterfile for more details.
This button will open the Browse the Multi Location Stock File window. It will show the amount of stock on hand at each location for the stock item selected. This window will allow you to insert the item into another location or change the details of an existing item within a location. See Multi Location Stock for more information.
This button will open the Browse the Multi Location Stk Transfer window. It will show all stock transfers between locations. See Multi Location Stock for more information.
This button will allow a stock take on an individual stock item. After clicking the button, the stocktake window will appear, allowing you to record a quantity of stock on hand. The stocktake takes into consideration items that have been issued to a job or customer order, and as such when recording the stocktake quantity you should not count items that are currently issued to one of these documents. After clicking the Process button, the system will modify the on hand quantity for the item and post a journal between the stock asset account and the discrepancy expense account (usually 9010).
Note: This button will be greyed out unless the "Enable stocktake button on selected stock item in masterfile" check box is ticked in the **Business Options.
